Landlord Frequently Asked Questions

Nearly all of our rental payments are due by tenants on the first of the month. The exception to this is if you are transferring a property to us from self-management or another agency. The due date will be what is listed in the existing tenancy agreement.

For a tenants first payment, we require a minimum of one month up front. This might mean that the following month, they will make a partial payment that will take them to the first of the following month and then begin regular payments on the first thereafter.

In most cases, we try to process rent payments on the day they are due. If the due date is a weekend or holiday, there may be some delay with the tenant’s bank sending the payment across.

You will receive an email invitation to create an account with Payprop, our payment provider. You will be able to view statements in your account, but please allow 1-2 days after the rent payment date for the statement to generate.

We ask that 4 full sets be provided, including door entry fobs which may require you to request these from the factor.

Two sets are reserved for the tenants and we retain two sets in the event of emergencies or contractor access requirements. If we are missing sets, we will get these cut for you.

Tenants will pay all utilities – we send the providers meter readings and tenant information automatically.

Tenants are also responsible for Council Tax, TV License and Broadband, unless otherwise specified in the Tenancy Agreement.

Arthur is our management software where tenants can report maintenance issues. You will be able to see documents attached to your property such as certificates or notices, along with a copy of your Terms of Business.

This portal will allow you to quickly approve quotes for maintenance works and message Gallus.

We can speak with factoring companies and action communal works if required, however most companies require you to email them authorising Gallus to speak on your behalf.

We recommend you do this sooner rather than later, when there could be an urgent issue. We do not pay factors fees out of the rent, this will need to be settled by yourself.

No, we automatically send a notification to the Council regarding the new tenants and their move-in date. You will receive a bill at your provided address for the period the property was empty, or if you prefer, we can have this sent to our office.

Full Management – Monthly fees are charged at 10% + VAT for Full Management Service – subject to £50 Minimum

Marketing Fee – £250 + VAT – Charged at each change of tenancy and includes:

  4. Marketing on Rightmove, Zoopla, etc.
  5. Marketing Across Social Media Platforms
  6. Viewings
  7. Tenant Referencing
  8. Inventory and Schedule of Condition

Our Rental Process:

1. Terms of Business

Once Terms of Business is signed, we get straight to work on preparing your property for the rental market. We cannot action work on your behalf without this.

 

We are a fully digital agency, so this will be sent to sign electronically via email.

2. Compliance

We will book in any compliance works straight away, including EICR, Gas Safety, and EPC if required. This gives us ample time for remedial work if required.

 

We are certified to carry out PAT & Legionella testing in-house, keeping costs down for our landlords.

3. Photography

Every property we manage is photographed and videoed by a professional, including a 3D interactive Matterport Tour.

 

The cost is included in our Marketing Fee, so no additional charges!

4. Onboarding

We will ask you for your rental preferences, such as students and/or pets. We also require your Landlord Registration Number at this point – if you do not yet have one, we’ll instruct you on how to apply.

 

We also will request Proof of ID and Proof of Ownership – we cannot put the listing on the market without this!

5. Marketing

We market your property across all major portals such as RightMove and Zoopla. The property is also listed on our website and social media.

 

We include the cost of marketing and the To Let Board in our Marketing Fee.

6. Viewings & Applications

We conduct all of our own viewings and have a quick application process which we carry out in-house. This includes credit, rental, income, and employment referencing.

 

Once we have an ideal candidate, we will contact you for approval and then begin preparations for move-in.
